Samples of automation process using RPA
1. Invoice reconciliation
The Accounting Department uses RPA in invoice reconciliation process to reduce the process time of checking invoice and order data. An accountant just scans invoice documents to reconcile and keeps them in a folder, then sets the robot program to run by using OCR function to extract the data, saves them and checks the accuracy of the invoice. The robot takes not over 5 seconds per 1 invoice. Moreover, it can reduce errors occurred by visual checking.
2. Payment and collection
The Finance Department uses RPA to check customer’s payment by getting statement data from banks’ websites and proceeding them based on the internal process, generating reports, and updating data to internal systems. As a result, they can trace the status of customer payment at once.
3. Checking shipping document
The Purchasing Department uses RPA to check accuracy of shipment by comparing between shipping document and a quotation. In this case RPA technology and OCR are applied together. After scanning documents by OCR, it keeps the data in the document management system automatically, so it can reduce 100% of employee’s operation time.
4. Recording journal vouchers
The Accounting Department uses RPA to import many journal vouchers to the ERP system. An accountant just prepares the data in Excel file, after that RPA will import them to ERP system and the staff can check the accuracy of data importing.
5. Purchase order data extraction
The Purchasing Department uses RPA to scan PO documents and store data in the database automatically. The system can check the data validation and inform the staff, so it can reduce time and increase work efficiency.
RPA functions and capabilities can be applied and developed to many automation processes in each business and each department.
- Bank and finance business use RPA to check data, migrate data between applications of banks, manage customer data of each bank, generate reports, etc.
- Retail business uses RPA to manage product data received from suppliers in many formats, collect price data from partners and competitors’ websites and compare them, and manage marketing data and customer data.
